📧 Newsletter
A newsletter is a bulk email to your subscribers — news, offers, invitations to events. Unlike campaigns, which target specific guests based on their behaviour, a newsletter goes to a list of people who signed up themselves.
You'll find it under Marketing → Newsletter templates / campaigns / subscribers.
The newsletter requires the Pro or Max plan. On lower plans the section is hidden.
Three parts of the newsletter
| Section | What it's for |
|---|---|
| Subscribers | The list of people receiving your news |
| Templates | The look of the email, reused across sends |
| Campaigns | A specific email that gets sent |
Subscribers
People join the list themselves, through the sign-up form on your website. They confirm by clicking a link in an email (double opt-in), so the list only contains genuine subscribers. The wording they agreed to, the date and the IP address are stored with each address — that is what proves consent under GDPR.
Every email sent includes an unsubscribe link. It leads to a page that asks once more, on purpose: corporate mail filters and preview panes open links by themselves, and a one-click opt-out nobody actually clicked is worse than one extra click. Mail clients (Gmail, Outlook) also show their own Unsubscribe control next to the message header.
Sending to people who did not ask for it breaks anti-spam rules. Only use subscribers who signed up themselves.
Templates
A template holds the look — colours, header image, background, text and button colours. Create it once and reuse it for every campaign so your emails stay consistent.
There are three ready-made starting points: Classic newsletter, Promo campaign and Event announcement.
Campaigns
A campaign is one specific email. Create it under Marketing → Newsletter campaigns → Create:
- Internal name – for you only, never shown in the email.
- Subject – what the recipient sees in their inbox.
- Preheader – a short line many email clients show after the subject.
- Template – pick a saved template, or override its styling just for this campaign.
- Content – the text and images of the email.
- Choose a send mode (below) and save.
Send modes
- Manual – you send it yourself with the Send to subscribers button on the campaign. Next to it is Send test to my e-mail, which sends exactly what subscribers would get, but only to you.
- Automatic – the system sends it for you. You choose:
- One-time send at a given date and time,
- Weekly on selected days,
- Monthly.
Campaign statuses
| Status | Meaning |
|---|---|
| Draft | Work in progress, nothing was sent |
| Scheduled | Waiting for its send time |
| Sending | Delivery in progress |
| Sent | Done — the campaign shows the send time |
| Cancelled | A scheduled campaign was stopped |
| Failed | Delivery failed — check your email settings |
A recurring campaign (weekly/monthly) returns to Scheduled after each send and keeps going. If one send fails, the campaign stays scheduled and tries again next time.
The hour and minute for automatic sending follow your venue's timezone — the same one the calendar uses. "9:00" means nine in the morning where you are.
Recommended workflow
- Create a template with your colours and logo.
- Check that you have subscribers (the website form works).
- Create a campaign, pick the template and write the content.
- Send it to your own address first (the Send test to my e-mail button) and read it on a phone.
- Only then send to the whole list, or schedule it.
FAQ
What's the difference between a campaign and a newsletter campaign? A marketing campaign targets guests based on their behaviour (e.g. haven't visited in a while). A newsletter goes to subscribers who signed up for news.
Can I send a newsletter to only part of the list? Yes. By default it goes to the whole active list. Link the campaign to a marketing campaign and set Audience source → Use linked campaign audience, and it goes only to that segment — VIP, returning (two or more visits) or new guests. The segment is worked out from the visit history of the guest with the same e-mail address.
The email never arrived. Check the campaign status (Failed vs Sent) and your email delivery settings. Remind recipients to look in their Promotions/Spam folder.
