📞 Creating a Manual Reservation (Phone / Walk-in)
Reservations don't have to come from the website. Staff can manually enter a reservation received by phone or for a guest who came in person.
When to use a manual reservation?
- A guest called and wants to book a table
- A guest came in person and wants to book for another day
- Walk-in: a guest arrived without a reservation and you want to record their visit
How to create a manual reservation
Option 1: Quick Reservation button
On the dashboard or in the admin, look for a quick reservation creation button. The form is simplified and optimized for fast entry over the phone.
Fill in:
- Guest first and last name
- Email (optional — if you want to send an email confirmation)
- Phone (optional)
- Date and time of the reservation
- Number of guests
- Service (e.g. Dinner)
- Booking source — select "Phone" or "Walk-in"
- Optional: special requests, assigned table, occasion
Option 2: New reservation via menu
- In the left menu, click Reservations → Appointments.
- Click Add Reservation.
- Select type: Reservation (not Blockout).
- Fill in all required fields.
- Save.
Booking source
Always fill in the Booking Source when creating a manual reservation:
| Source | When to use |
|---|---|
| Online | Guest booked themselves via the website |
| Phone | Guest called, staff entered the reservation |
| Walk-in | Guest came in person without a prior reservation |
This information appears in statistics and helps track where guests come from.
Status of new reservation
- If manual approval is on: the reservation is saved as Pending
- If approval is off or you as a manager have permission to create confirmed reservations: it is immediately set to Confirmed
