⏱️ Waitlist
The waitlist lets guests sign up when no slots are available at their desired time. When a slot opens up, the system automatically notifies them.
How does it work?
- A guest tries to book online and finds the time slot is full.
- They sign up for the waitlist — entering their preferred dates/times and contact details.
- If a reservation is cancelled or capacity opens up, the system automatically notifies the guest by email.
- The guest can then book a new slot, or a manager can create the reservation manually for them.
Managing the waitlist in the admin
Where is the waitlist?
In the left menu, click Reservations → Waitlist.
What do I see in the waitlist?
Each entry contains:
- Guest name and contact
- Requested service
- Preferred date / time
- Preferred staff member (if specified)
- Number of guests
- Entry status
Waitlist statuses
| Status | Description |
|---|---|
| Waiting | Guest is waiting for an available slot |
| Notified | System sent a notification about an available slot |
| Booked | Guest has made a reservation |
| Expired | Notification expired without a response |
| Cancelled | Guest cancelled their waitlist entry |
Waitlist priority
Entries can be marked with a priority:
- Normal — standard order
- High — preferential notification
- VIP — highest priority
Manual notification
If a slot opens up and you want to notify a guest manually:
- Open the waitlist entry.
- Click Notify Guest.
- The system sends an email with available slot information.
Automatic expiry
Waitlist entries have an expiry date — if the guest doesn't respond by then, the entry is automatically marked as Expired.
