⏱️ Waitlist

The waitlist lets guests sign up when no slots are available at their desired time. When a slot opens up, the system automatically notifies them.


How does it work?

  1. A guest tries to book online and finds the time slot is full.
  2. They sign up for the waitlist — entering their preferred dates/times and contact details.
  3. If a reservation is cancelled or capacity opens up, the system automatically notifies the guest by email.
  4. The guest can then book a new slot, or a manager can create the reservation manually for them.

Managing the waitlist in the admin

Where is the waitlist?

In the left menu, click Reservations → Waitlist.

What do I see in the waitlist?

Each entry contains:

  • Guest name and contact
  • Requested service
  • Preferred date / time
  • Preferred staff member (if specified)
  • Number of guests
  • Entry status

Waitlist statuses

StatusDescription
WaitingGuest is waiting for an available slot
NotifiedSystem sent a notification about an available slot
BookedGuest has made a reservation
ExpiredNotification expired without a response
CancelledGuest cancelled their waitlist entry

Waitlist priority

Entries can be marked with a priority:

  • Normal — standard order
  • High — preferential notification
  • VIP — highest priority

Manual notification

If a slot opens up and you want to notify a guest manually:

  1. Open the waitlist entry.
  2. Click Notify Guest.
  3. The system sends an email with available slot information.

Automatic expiry

Waitlist entries have an expiry date — if the guest doesn't respond by then, the entry is automatically marked as Expired.
