🗓️ Staff schedules
Opening hours say when the business is open. A schedule says when a specific person is available — a barber, a doctor, a server. The system then only offers slots when that person actually works.
You'll find them under Operations → Schedules.
If your guests pick a specific person (barbershop, clinic, salon), turn schedules on. If they only book a table and it doesn't matter who serves them, opening hours are enough.
How it works
- No schedule – the person is available for the whole of opening hours.
- With a schedule – available only during the times the schedule defines.
- Time off / exceptions – not available at all in that period, even if the schedule says otherwise.
A schedule therefore narrows opening hours, never extends them. When the business is closed, no schedule will help.
Creating a schedule
- Open Operations → Schedules → Create.
- Fill in a Name (e.g. "Tom – main shift").
- Pick the team member the schedule belongs to.
- Choose the Schedule type:
- Recurring (weekly) – the same days and times every week. The usual choice.
- Manual (specific dates) – individual dates, useful for irregular shifts.
- Add the slots and save.
Recurring schedule
For each slot pick a day and enter a start and end time in HH:mm format
(e.g. 09:00 – 17:00).
One day can have several slots — to model a lunch break, replace a single 09:00–17:00 slot
with two: 09:00–12:00 and 13:00–17:00.
Manual schedule
Each slot has a date, a start and an end. Use it for shifts that don't repeat — temporary help, extra duty, cover.
Time off and exceptions
The Time off / exceptions section applies to both schedule types. You enter:
- From date and optionally To date (several days at once),
- Leave type – Vacation, Sick leave, Personal, Holiday, Other,
- Reason (an optional note).
During that period the system will not offer that person, even if their normal schedule covers the day.
Active / inactive
The Active checkbox turns a schedule off temporarily without deleting it. Inactive schedules are ignored when searching for free slots — handy for seasonal shifts.
FAQ
Can one person have several schedules? Yes. The system combines all of their active schedules. Useful for a regular shift plus occasional extra hours.
Why is a slot not offered even though the person should be working? Check in this order: opening hours for that day (including holidays and exceptions), then time off in the schedule, then whether the schedule is Active, and finally whether a table/chair is free too.
Does the AI assistant know about schedules? Yes — ask it something like "Is Tom working tomorrow?" and it answers from the schedule, time off included.
